This role manages advisor onboarding and support for EngageOne and Levitate, builds automation and Zapier integrations, and uses AI-assisted workflows to accelerate marketing operations (onsite in Overland Park, KS).

Role
The Marketing Operations Specialist is responsible for end-to-end delivery of digital marketing across email, automation, social publishing, CRM, and integrations. This role is the primary owner of advisor-facing platforms (EngageOne / Snappy Kraken and Levitate), supports vendor relationships, and uses AI-assisted workflows and low-code tools to build lightweight marketing tools and automations.
Key Responsibilities
- Own advisor platform management: onboard advisors, provide support, resolve tickets, schedule content, maintain rosters, and ensure compliance.
- Execute email marketing in HubSpot: build and send emails, support A/B testing, segmentation, and performance tracking.
- Configure and build marketing automation workflows in HubSpot and GoHighLevel; collaborate on larger build-outs.
- Build, monitor, and troubleshoot Zapier integrations; escalate systemic issues.
- Schedule and deploy social content (LinkedIn, Facebook, etc.) and maintain publishing calendars.
- Serve as day-to-day contact for platform vendors (e.g., Snappy Kraken, Levitate); coordinate feature requests and escalations.
- Maintain and update SOPs and process documentation (use Scribe for visual walkthroughs).
- Use AI tools (Claude, ChatGPT, or comparable) to accelerate execution, improve output, and build lightweight marketing modules or mini-apps (AI-assisted development / vibe coding).
- Track and report on channel performance metrics, pull reports, flag anomalies, and support analytics efforts.
Requirements
- Hands-on experience with marketing automation platforms (HubSpot, GoHighLevel, ActiveCampaign, or comparable).
- Strong understanding of email marketing fundamentals: deliverability, segmentation, workflows, A/B testing, and performance metrics.
- Ability to configure automation workflows and understand trigger/action/condition logic.
- Experience with integrations and automation tools (Zapier strongly preferred).
- Detail-oriented with strong organizational skills, written and verbal communication, and ability to manage multiple tasks.
- Demonstrated use of AI tools (ChatGPT, Claude, or similar) in professional or project contexts; strong prompting skills for AI-assisted development.
- Comfort working with data and pulling reports for performance analysis.
- Professional, responsive demeanor for advisor and vendor interactions.
- Authorization to work in the U.S.; company does not sponsor visas.
Preferred Experience
- 3–5 years in marketing operations, email marketing, or marketing automation.
- Hands-on experience with HubSpot or a comparable CRM/marketing automation platform.
- Experience managing a vendor-provided or white-labeled client-facing platform.
- Familiarity with project management tools (Asana, Monday.com, ClickUp).
- BA/BS in Marketing, Business, Communications, or related field preferred.
- Experience in financial services, insurance, or regulated industries is a bonus.
